Frequently asked questions

The questions decision-makers actually ask, answered without marketing language. If yours is not here, ask it directly, we will give you a straight answer even when it is no.

+Do we need Microsoft 365?

It is assumed. Staff sign in with their work accounts, and the Portal works alongside Teams, Outlook and SharePoint. If your setting uses something else, tell us in your enquiry and we will be honest about what that would mean.

+Can we keep our own policies and paperwork?

Yes. Your policies live in the Portal with review dates and version history. The WILD Framework™ shapes how practice is described and evidenced; it does not replace your governance documents.

+Who owns the data?

You do. Your organisation is the data controller for your learner and staff records. Wild Minds Pro processes it on your behalf under a data processing agreement.

+What happens if we leave?

You can export your records. Nothing is held hostage, the point of the system is that your evidence is yours.

+How long does setting up take?

It depends on how much you bring with you. A small provision with clean learner and staff lists can be working in the Portal quickly; settings importing years of records take longer. We set up your organisation space, sites, groups and roles with you.

+Do we have to take all of it?

No. Safeguarding, compliance, register, session records and plans are the core. Everything else is switched on per organisation. Some settings start with Academy training and add the software later.

+What does it cost?

Pricing is confirmed per organisation, based on your sites, learner numbers and the modules you switch on. There are no card payments in the Portal, you get a clear figure after a conversation.

+Is it only for alternative provision?

It is built for settings supporting young people whose needs are not met by mainstream education, AP, SEND and specialist settings, and community organisations working with referred young people.

+Does the Academy only make sense with the Portal?

No. Practitioner learning is methodology-led and stands alone. Portal software training is a separate operational course and is never part of a WILD practitioner level.

+Can commissioners and parents see what they need?

Yes, through a separate secure area where they see only what you have chosen to publish, not your internal records.
